Email Signature for Business: What to Include in India

By Neha

Every quotation, invoice and follow-up you send ends with the same few lines. For many small businesses those lines say "Sent from my iPhone", or a name and nothing else, and the customer has to scroll back through old chats to find your number.

A good email signature for business fixes that in a few minutes, and our free email signature generator builds one for you. This guide covers what to include for an Indian small business, what to leave out, how to set it up in Gmail and Outlook, and how to make sure it still looks right on a phone.

Short answer: A business email signature should have your name, your role and business name, one phone number, a WhatsApp chat link, your website and, if you sell to other businesses, your GSTIN. Leave out quotes, bank details, large images and every social network you have ever joined. Build it as a simple table, paste it into Gmail or Outlook settings, and test it on your phone before you use it.

Why does a small business need a proper email signature?

Because it turns every email into a way to reach you. A customer reading your quotation on their phone should be able to call you, open WhatsApp or visit your website with one tap, without searching.

It also signals that you are an established business. A CA in Lucknow sending tax documents, an interior designer in Bengaluru sending a design proposal, or a textile supplier in Surat sending a price list all look more trustworthy with a clean, consistent signature than with a bare name.

There is a practical side too. When several people in a business send email, a shared signature format means every customer sees the same business name, phone number and website, which is what you want people to remember and search for later.

What should a business email signature include?

Include only what helps the reader contact you or trust you. For most Indian small businesses, that means these lines, in this order:

LineExampleInclude?
NameAnjali MehtaAlways
Role and businessFounder, Mehta InteriorsAlways
Phone+91 98XXX XXXXXOne number, the one you answer
WhatsAppChat on WhatsAppYes, as a tap-to-chat link
Websitemehtainteriors.inIf you have one
AddressAndheri West, MumbaiIf customers visit you
LogoSmall, linked to your websiteOptional
Social linksInstagram, LinkedInOne or two that you keep updated
GSTIN27ABCDE1234F1Z5If you sell to other businesses

Write the phone number with the +91 code so it works for anyone, including customers abroad. For WhatsApp, a link opens a chat in one tap, which is far easier than asking someone to save your number first. Our WhatsApp link generator makes one, with a pre-typed first message if you like.

Your email address itself also matters. An address on your own domain, such as anjali@mehtainteriors.in, looks more established than a free webmail address. Our guide on how to choose a domain name covers picking one.

Should you put your GSTIN in your email signature?

Put it in if you sell to other businesses, and leave it out if you sell mainly to individual customers. Business clients need your GSTIN on the invoices they receive from you to claim input tax credit, and having it in your signature saves an email asking for it.

For a salon, a bakery or a tuition centre, most customers will never need it, and it only adds clutter.

Two cautions:

  • Your GSTIN must be on your tax invoices regardless. The signature is a convenience, not a substitute. Our GST invoice format guide covers what an invoice must show.
  • Copy it exactly. A wrong character in a GSTIN causes more trouble than leaving it out.

If you run a registered company or an LLP, ask your CA which company details your official correspondence must show, and add those lines in the same small grey text as the rest of the footer.

What should you leave out of your email signature?

Leave out anything that is long, risky or out of date. A signature is read in a second. Every extra line pushes the important ones down.

  • Bank account details. Fraudsters copy business email styles and send fake "our bank details have changed" messages. If your real account number sits in every email, a fake one is easier to slip in. Share bank details on the invoice, and confirm changes by phone.
  • Personal ID numbers. Never PAN, Aadhaar or anything similar.
  • Quotes and slogans. A motivational line means nothing to a customer chasing a delivery date.
  • Every social network. Link only the profiles you actually update. A dead Facebook page from 2019 does more harm than good.
  • Large images and banners. They load slowly, often show as attachments, and many inboxes block images until the reader allows them.
  • An image-only signature. If the whole signature is one picture, nobody can tap your number, and it disappears when images are blocked.
  • Long legal disclaimers. One or two short lines at most, in small text, if you need one at all.

Fake emails using your business name are a real risk. Our email safety checker shows whether your domain is set up so that others cannot easily send email pretending to be you.

How to make an email signature that works everywhere

Build it as a simple table with the styling written into each line, because that is the format Gmail and Outlook keep intact when you paste it in. Modern web design methods are mostly stripped out by email apps.

You do not need to write any code. Our free email signature generator does it for you:

  1. Fill in your name, role, business, phone, WhatsApp, email, website and address. Leave any field empty and it is skipped.
  2. Add your logo link and pick your brand colour. The logo must already be online, for example on your website, as an address ending in .png or .jpg. A Google Drive link will not work.
  3. Choose one of the three layouts and check the live preview.
  4. Press Copy signature and paste it into your mail settings, or use Copy HTML code if your mail app asks for code.

The generator adds +91 to a 10-digit Indian mobile number in the WhatsApp link, makes your phone number tap-to-call, and adds social links for LinkedIn, Instagram, Facebook, X and YouTube if you fill them in. It runs in your browser, so nothing you type is sent to us.

How to add your signature in Gmail and Outlook

Paste it into your mail settings once and it is added to every new email. Here are the steps from Google's and Microsoft's own help pages, as of October 2026.

Gmail on a computer

  1. Open Gmail, click the gear icon, then See all settings.
  2. Scroll to Signature and create a new one.
  3. Paste your signature with Ctrl+V, or Cmd+V on a Mac.
  4. Choose it as the default for new emails and replies.
  5. Click Save Changes at the bottom of the page.

Google's Gmail signature help page says a signature can be up to 10,000 characters, and images count towards that limit.

Gmail on a phone

The Gmail app has its own mobile signature, set under Settings, then your account, then Mobile signature. According to Google, it applies only to emails sent from the app. If you do not set one, the app uses your computer signature. You type it into the app as text, so keep it short: name, business and phone.

Outlook

In new Outlook for Windows and in Outlook on the web, go to Settings, then Accounts, then Signatures. Select Add signature, give it a name, paste it, choose whether it applies to new messages and replies, and select Save. In classic Outlook, go to File, Options, Mail, Signatures.

Microsoft's Outlook signature guide notes that signatures do not always carry across devices, and that if you use both Outlook and Outlook on the web you may need to create the signature in each. Set it up wherever you send email from.

How to make your signature look good on a phone

Most of your customers will read your email on a phone, so design for that first.

  • Keep it narrow. A signature with the logo on the left and text on the right can squeeze on a small screen. The compact layout in our generator keeps everything in a few short lines.
  • Keep the logo small. A logo that is a few centimetres wide on a laptop can fill a phone screen.
  • Make numbers tappable. A phone number written as plain text inside an image cannot be tapped. Real text links can.
  • Use real text, not images, for contact details, so they still show when images are blocked.
  • Limit it to five or six lines. Name, role, phone, WhatsApp, website and perhaps one social link.
  • Test before you use it. Send an email to yourself and open it in the Gmail app, on a laptop and, if you can, on an iPhone. Tap every link.

Your email signature, visiting card and WhatsApp profile should all show the same name, number and website. If you are reprinting cards, the visiting card maker uses the same details, with a QR code to your website or WhatsApp. And if you send newsletters or offers by email, our guide to email marketing for small business covers what to send and how often.

Frequently asked questions

What is the best email signature format for a small business?

Name on the first line, role and business name on the second, then phone, WhatsApp link and website, each on its own short line. Add a small logo and one or two social links only if they help. Keep it to about six lines, use real text rather than an image, and make the phone number and WhatsApp link tappable.

Should I add my WhatsApp number to my email signature?

Yes, if customers can reach you on it. Add it as a link that opens a chat in one tap rather than as a bare number, so the reader does not have to save your contact first. If your calls and WhatsApp use the same number, you can show it once and add a short "Chat on WhatsApp" link beside it.

Why does my logo not show in my email signature?

Usually because the logo link does not point straight to an image anyone can open. Links to Google Drive pages or private folders do not work. Upload the logo to your website and use the address that ends in .png or .jpg. Also remember that some readers block images until they allow them, so your contact details should be text.

Can I use the same email signature in Gmail and Outlook?

Yes. A signature built as a simple table with styling on each line pastes cleanly into both. You do need to add it separately in each app, and in Outlook you may need to add it in both the desktop app and Outlook on the web. The Gmail phone app uses its own mobile signature, which you set inside the app.

Is it safe to put my GSTIN in an email signature?

Your GSTIN is not secret: anyone can look up a registered GSTIN on the GST portal, and it already appears on your invoices. It is reasonable to include it if you sell to businesses. What you should not put in a signature are bank account details, PAN or Aadhaar numbers, which can be misused.
