UTM Links: Find Out Which Marketing Brings Customers

By Neha

Anita runs a yoga studio in Baner. Last month she spent โ‚น6,000 on Instagram ads, sent a WhatsApp broadcast to 400 past students, printed 500 flyers with a QR code, and posted an offer on her Google Business Profile. Forty-one people signed up for the trial class through her website.

Which of the four brought them?

She has no idea. Her website report says most visitors came from something called "direct", which is the analytics way of saying "we could not tell". So next month she will spend the same money in the same four places and hope.

UTM links fix exactly this. They are free, they take a minute each, and they are the difference between guessing and knowing where your marketing money works.

What is a UTM link?

A UTM link is your normal web address with a few labels added to the end. When someone clicks it, the labels travel along and your analytics records them. The visitor sees the same page as always.

Here is Anita's ordinary link:

https://banerflow.in/trial-class

And the same link, labelled for her WhatsApp broadcast:

https://banerflow.in/trial-class?utm_source=whatsapp&utm_medium=broadcast&utm_campaign=october_trial

Everything after the question mark is the label. It says: this visitor came from WhatsApp, through a broadcast, as part of the October trial campaign. The odd name comes from Urchin, the company whose tracking software Google bought years ago and turned into Google Analytics. UTM parameters is the formal term for these labels.

The three labels you need, and two you can ignore

utm_source: where the click happened. The place. Examples: instagram, whatsapp, google, newsletter, flyer.

utm_medium: what kind of marketing it was. The type. Examples: paid, social, email, broadcast, qr, bio.

utm_campaign: which promotion. The reason. Examples: october_trial, diwali_offer, new_batch_jan.

Those three are enough for almost every small business. Two more exist. utm_content tells apart two versions of the same ad, such as video and photo. utm_term was made for paid search keywords. Add them only when you really need to compare versions.

An easy way to remember the main three: source is the where, medium is the how, campaign is the why.

Anita's month, done properly

Here is the same month with every link labelled.

Where the link goesutm_sourceutm_mediumutm_campaign
Instagram adinstagrampaidoctober_trial
Instagram bioinstagrambiooctober_trial
WhatsApp broadcastwhatsappbroadcastoctober_trial
QR code on flyerflyerqroctober_trial
Google Business Profile postgooglegbp_postoctober_trial

Five links, all leading to the same trial class page. She builds them in the campaign link builder, which avoids the spelling and punctuation slips that happen when you type them by hand.

At the end of the month her report reads very differently:

Source / mediumVisitorsSign-ups
instagram / paid6209
whatsapp / broadcast14019
flyer / qr358
google / gbp_post904
instagram / bio601

These numbers are invented for the example, but the pattern is one many small businesses find. The Instagram ads brought the most visitors and cost the most, yet the free WhatsApp message to past students brought twice as many sign-ups. And the flyers, which she was about to stop printing, converted almost one in four of the few people who scanned.

Now she can make a decision instead of a guess.

Where to use UTM links, and where never to

Use them on every link you place outside your own website:

  • Ads on Instagram, Facebook and elsewhere.
  • The link in your Instagram and Facebook bio.
  • WhatsApp broadcasts, status updates and the catalogue link.
  • Email newsletters and your email signature.
  • QR codes on flyers, visiting cards, standees, packaging and bills. A QR code cannot say where it was scanned unless the link inside it carries a label. The QR code generator accepts any link, including a labelled one.
  • The website button and posts on your Google Business Profile, so that visits from Maps stop being lumped in with ordinary Google searches.

Never use them on links inside your own website. If your home page banner links to an offer page with UTM labels, every visitor who clicks it is recorded as a brand new arrival from the "banner", and the record of where they originally came from is overwritten. This is the most damaging mistake people make with UTMs. Internal links must stay clean.

One exception: you do not need to label Google Ads by hand. Google Ads has a setting called auto-tagging that passes the details across automatically. Our guide to Google Ads for small business covers the basics.

The rules that keep your reports clean

Analytics is extremely literal. To it, "Instagram", "instagram" and "insta" are three unrelated sources, and your results get split across three rows.

  1. Always lower case. No exceptions.
  2. No spaces. Use an underscore or a hyphen: october_trial.
  3. Pick one name for each source and keep it forever. Decide today whether it is "whatsapp" or "wa" and never switch.
  4. Keep medium to a short fixed list. paid, social, email, broadcast, qr, bio, referral. That covers nearly everything.
  5. Name campaigns so that you will understand them in a year. "offer2" means nothing next October. "diwali_2026_combo" does.
  6. No personal details. Never put a customer's name, phone number or email in a UTM label. It ends up in your analytics, which is against Google's rules and bad for privacy.
  7. Write your names down. A simple note or sheet listing your sources, mediums and campaigns. Our short note on a UTM naming convention describes the one we use.

Before you send anything, paste the link into the UTM link checker. It explains what each label means, catches the mistakes that ruin reports and hands back a cleaned version.

Making long links look friendly

A labelled link is long and ugly. That matters in a WhatsApp message and not at all behind a button or inside a QR code.

  • In emails and on buttons, the visitor never sees the address. Do nothing.
  • In QR codes, the length only makes the pattern slightly denser. It still scans.
  • On WhatsApp, where the raw link shows, the message preview with your page title and picture does most of the work. If the preview looks broken, see fixing a link preview on WhatsApp.
  • A link shortener works too, as long as you shorten the labelled link and not the plain one.

If the link is meant to open a WhatsApp chat rather than your website, UTM labels do not apply. Use the WhatsApp link generator and put a few identifying words in the pre-typed message instead, such as "Hi, I saw your flyer".

Reading the results in Google Analytics

You need Google Analytics 4, which is free, installed on your site. Once it is collecting visits:

  1. Open Reports, then Acquisition, then Traffic acquisition.
  2. Change the first column from the default channel group to "Session source / medium".
  3. Read across each row: visitors, engaged sessions and key events. Key events are the actions you have told Analytics matter, such as a form sent or a booking completed.
  4. To see one promotion on its own, switch the column to "Session campaign".

If you have not marked any key events, do that first. Visitor numbers alone can mislead, as Anita's Instagram ads showed. What you want to know is which source brings people who do something.

UTM links tell you about clicks you sent. They say nothing about people who found you by searching. For that half of the picture you need Search Console, covered in our Search Console guide for beginners.

Frequently asked questions

Are UTM links free to use?

Yes. They are simply extra text on the end of a link. Building them costs nothing, and Google Analytics, which reads them, has a free version that is enough for any small business.

Do UTM links affect SEO?

Not when used on outside links, as intended. Your pages should carry a canonical tag so that Google treats the labelled address as the same page. Trouble only starts if you put UTM labels on links inside your own site.

Can customers see the UTM labels?

They are visible in the address bar after clicking, so keep them tidy and never include anything private or embarrassing. Most people do not notice them.

How many UTM links do I need?

One for each place you put a link. The same promotion shared in five places needs five links that differ in source and medium and share the same campaign name.
