How to Write a Quotation That Clients Say Yes To
By Neha
A clinic owner asks two freelancers what it would cost to look after her website and Google listing.
The first replies on WhatsApp within the hour: "Website + SEO, 15k per month. Let me know."
The second sends a one-page PDF the next morning. It lists what will be done each month, what is not included, the price with GST shown separately, the date the offer runs out, and a line at the bottom for her signature.
The second freelancer is charging ₹18,000. She gets the work.
Nothing about her skill was different. Her quotation simply answered the questions the client was too polite to ask: what exactly am I buying, what will the final bill be, and can I trust this person with an advance? This guide shows how to write a quotation that does the same, whether you sell marketing, design, repairs, catering or consulting.
Quotation, estimate, proforma, invoice
These four get mixed up, and the difference matters when there is a disagreement later.
| Document | What it says | When you send it |
|---|---|---|
| Estimate | "It will cost roughly this much" | Early, when the work is not yet clear |
| Quotation | "I will do exactly this for exactly this price, if you accept by this date" | When the scope is known |
| Proforma invoice | "Here is what the invoice will look like; please pay the advance" | After acceptance, before work starts |
| Tax invoice | "The work is done or due; this amount is now payable" | When you bill |
An estimate can move. A quotation is a firm offer. Once the client accepts it in writing, both of you are expected to stick to it. That is exactly why it protects you as much as it protects them.
If you are registered for GST, the tax invoice has its own rules. Our guide to the GST invoice format covers those.
What every quotation should contain
1. Who it is from and who it is for
Your business name, address, phone, email and GSTIN if you have one. Then the client's name, business and address. Getting the client's legal name right now saves a corrected invoice later.
2. A number and a date
Number your quotations in order, such as Q-2026-014. When a client calls three weeks later saying "about that quote", you will both know which one.
3. What you will do, in plain items
This is the heart of the document. Break the work into lines a client can picture, each with a quantity and a price.
Weak:
- Digital marketing services: ₹15,000
Strong:
- Google Business Profile: weekly post, photo updates, replies to all reviews
- Website: 2 new service pages per month, written and published
- Monthly report with calls, direction requests and website visits
- One 30-minute review call each month
Specific lines do two jobs. They show the client where the money goes, and they give you something to point at when the client asks for "just one more small thing".
4. What is not included
The line most people leave out, and the one that prevents most arguments. Say it plainly:
- Advertising spend paid to Google or Meta is not included and is paid directly by the client.
- Photography, video shoots and printing are not included.
- Domain and hosting charges are billed at cost.
- Changes beyond two rounds of revisions are charged at ₹800 per hour.
5. The price, the discount and the tax
Show the sum in steps so nothing is a surprise:
| Amount | |
|---|---|
| Services as listed | ₹18,000 |
| First-month discount | −₹2,000 |
| Taxable value | ₹16,000 |
| GST at 18% | ₹2,880 |
| Total payable | ₹18,880 |
If you offer a discount, show the full price first and the discount as its own line. The client sees the value of what they are getting, and next month's full price does not come as a shock.
6. How long the offer stands
A quotation without an end date is an open promise. Your costs change, your diary fills up, and a client who replies four months later will expect the old price. Write "Valid until 31 October 2026". Fifteen to thirty days is normal.
7. Payment terms
Say when and how you are paid:
- 50% advance to begin, 50% on completion, for one-off projects.
- Payable in advance by the 5th of each month, for monthly work.
- Accepted by UPI or bank transfer, with the details printed on the quotation.
8. Timeline
When you will start and when the client can expect to see results or deliveries. Tie the start date to the advance: "Work begins within three working days of receiving the advance."
9. An acceptance block
A line at the bottom reading "Accepted by", with space for a name, signature and date. A signed copy, or even a reply saying "Accepted" to the email carrying the PDF, turns your offer into an agreement.
GST on a quotation, in brief
- If you are registered for GST, show your GSTIN, the service code (called SAC) and the tax as a separate line. Most services are taxed at 18%. For a client in your own state the tax is split into CGST and SGST; for a client in another state it is IGST.
- If you are not registered, you cannot charge GST or show it on your documents. Quote a single price and do not write "plus GST". Service providers generally need to register once yearly turnover crosses ₹20 lakh, with a lower limit in some states.
- Always say whether the price includes tax. "₹18,000 plus GST" and "₹18,000 inclusive of GST" differ by nearly ₹3,000.
The rules have exceptions, so confirm your own position with a chartered accountant.
Work out the price before you write it down
A neat quotation at a losing price is still a loss. Before you fill in the numbers:
- List the hours. How long will each line really take, including calls, revisions and reporting?
- Add your costs. Software, travel, freelancers you will pay, payment fees.
- Add your margin. The profit margin calculator shows what is left after costs, and what a discount does to it.
Our guide to profit margin and markup explains why a 20% discount can wipe out far more than 20% of your profit. Freelancers selling SEO will find a full method in how to price SEO services.
Six mistakes that lose the job, or the money
- One lump-sum line. The client cannot see what they are buying, so they compare you on price alone.
- No end date. You are held to last season's price.
- No exclusions. Every extra request becomes an argument.
- Unclear tax. The client budgets for one figure and receives a bill for another.
- Sending it as a WhatsApp message. It looks casual, gets buried under other chats and cannot be signed. Send a PDF, and a short message with it.
- Never following up. Most quotations are not rejected. They are forgotten.
Send it, then follow up
Send the PDF by email and by WhatsApp, with a short note: what is attached, the total, the date it is valid until, and an offer to explain anything on a call.
Then follow up, politely, on a schedule:
- Day 3: "Just checking the quotation reached you. Happy to walk through it on a quick call."
- Day 7: Answer the most likely worry. "Many clients ask whether the advance is refundable, so I wanted to explain how that works."
- Two days before it expires: "The quotation is valid until Friday. Shall I hold the start date for you?"
Three messages is enough. After that, let it rest and move on.
From quotation to payment
Once the client accepts:
- For anything beyond a small one-off job, put the terms in a short agreement. The SEO service agreement generator produces a plain-English contract with fees, scope and signature blocks.
- Raise the invoice for the advance. The GST invoice maker builds a correct tax invoice from the same details.
- Start work only when the advance arrives.
Make one in a few minutes
You do not need design software. The quotation maker produces a professional quotation as a PDF, with GST, a discount line, a validity date and a client acceptance block. It is built around SEO and marketing services, which is what most of our users sell, and the line items can be edited to describe your own work.
If the client needs more persuading than a price list can do, pair it with a short proposal that explains the problem and your plan. The SEO proposal generator writes one from a website's actual issues.
Frequently asked questions
Is a quotation legally binding?
A quotation is an offer. Once the client accepts it clearly, in writing or by signature, it generally forms an agreement that both sides are expected to honour. Until then you can withdraw or change it.
How long should a quotation be valid?
Fifteen to thirty days suits most service work. Use a shorter period if your costs change quickly, as with materials, travel or festival-season work.
Should I give a discount on a quotation?
Only with a reason and an end: a first-month offer, a saving for paying a year in advance, or a smaller scope. A discount with no reason teaches the client that your first price was not real.
What is the difference between a quotation and a proforma invoice?
A quotation is an offer the client may accept or refuse. A proforma invoice is sent after they agree, to request an advance before the final tax invoice is issued. Neither is a tax invoice.
