How ChatGPT Picks Local Businesses to Recommend

By Neha

ChatGPT picks local businesses by searching the web for the question you asked, reading the pages and listings it finds, and naming the businesses that look relevant, reliable and recent for your area. OpenAI publishes those broad factors but not the exact formula, and OpenAI says ads cannot buy a place in the answer.

ChatGPT local business recommendations are now one more way customers choose a shop or clinic, and the short answer above hides a lot of useful detail. This guide takes the process apart step by step, separates what OpenAI has actually documented from what people have only observed, and shows which parts a shop, clinic or service business can influence. If you want the practical to-do list straight away, our guide on how to make your business easier to find in ChatGPT has it. This post explains the "why" behind that list.

Short answer: For local questions, ChatGPT usually runs a web search. It uses your approximate location, rewrites your question into search queries, gets results from its own crawler and from outside search and business-listing providers, then chooses what to show by intent, relevance and recency. A business that its crawler can read, that search engines know, and that many sources describe the same way has the best chance of being named.

What happens when someone asks ChatGPT for a local business?

ChatGPT does not look up a fixed directory of "recommended" businesses. It runs a fresh search for each question and writes an answer from what that search returns.

Take a real-sounding question: "Good physiotherapist near Koregaon Park for a knee injury, open on Sunday." Based on OpenAI's own help pages, the answer is built roughly like this:

  1. ChatGPT decides whether to search. For questions about places, prices or anything current, it usually searches the web rather than answering from memory.
  2. It works out where you are. By default it uses an approximate location from your internet connection. Sharing your exact device location is optional and off by default, according to OpenAI's help page on searching the web with ChatGPT.
  3. It rewrites your question. OpenAI says that when it works with outside search providers, ChatGPT "typically rewrites your query into one or more targeted queries". "Knee physiotherapy clinic Koregaon Park Pune Sunday" is the kind of thing that goes out.
  4. It gathers results. These come from OpenAI's own crawler, OAI-SearchBot, and from third-party providers, including providers of nearby business listings.
  5. It reads and chooses. It picks which results to present and writes a short answer, usually with links to its sources and, in the mobile apps, sometimes a map.

Everything you can do as an owner fits into one of those five steps.

What has OpenAI actually said about how results are chosen?

OpenAI says results are chosen by "user intent, relevance, and recency", and that placement is not guaranteed. It has not published anything more detailed for local businesses.

The playbook for this blog asks us to separate what is documented from what is observed or guessed. Here is that split for ChatGPT's local answers.

Treat the bottom rows as likely, not certain. Anyone who tells you they know ChatGPT's exact local ranking factors is guessing.

Why does the crawler matter so much?

If OAI-SearchBot cannot read your website, OpenAI says your site will not be shown in ChatGPT's search answers, apart from a bare link.

OpenAI runs several crawlers, programs that visit websites and read their pages. Its crawler overview says sites that opt out of OAI-SearchBot "will not be shown in ChatGPT search answers, though can still appear as navigational links". It also says a change to your robots.txt, the small public file that tells bots what they may read, takes about 24 hours to reach ChatGPT's search.

Two other crawlers are often confused with it:

  • GPTBot collects pages for training future models. Blocking it does not remove you from search answers.
  • ChatGPT-User visits a page when a person's question or action in ChatGPT needs it, rather than crawling on its own. OpenAI says it is not used to decide what appears in search.

The trap for small businesses is that blocking often happens by accident. A security plugin, a hosting firewall or a "block AI bots" switch at your web host can shut OAI-SearchBot out without you ever touching robots.txt yourself. OpenAI's help page on searching the web with ChatGPT also asks that your host or CDN allows traffic from its published searchbot IP addresses.

Check this first. The free AI crawler checker reads your robots.txt and shows, for 13 AI crawlers including OAI-SearchBot, whether each may read your home page and which line blocks it. It checks robots.txt only, so a firewall block will not show up there; if your host has an AI-bot setting, look at that too.

Where does ChatGPT get business details like hours and phone numbers?

From a mix of your website, business-listing providers and other pages about you. OpenAI confirms it uses providers of "nearby business listings" but does not name them, except OpenTable, Resy and Yelp for restaurant reservations.

That matters because the answer can only be as accurate as its sources. If your website says you open at 10, your Google listing says 9:30 and Justdial still shows your old shop, ChatGPT may repeat any of them, or skip you because the sources disagree.

What this means in practice:

  • Your website should state the basics in plain text. Name, full address with area and city, phone, WhatsApp number, hours for each day, and what you do. Details that only exist in an image or a PDF are easy for any crawler to miss.
  • Your listings should match your website exactly. Google Business Profile, Bing Places for Business, Justdial, IndiaMART, Sulekha and trade sites such as Practo or Zomato. The NAP consistency checker compares the name, address and phone you paste in from each one and shows which listings disagree. NAP simply means name, address and phone.
  • Label your facts for machines. Structured data, also called schema markup, is a hidden block of code that says "this is the business name, these are the opening hours". The local business schema generator writes it for you. Search engines use it; whether ChatGPT reads it directly has not been confirmed by OpenAI, but it helps the search engines ChatGPT draws on.

Because the listing provider is not named, do not bet on one directory. Being correct on all the main ones is the safe choice.

How do search engines like Bing come into it?

ChatGPT's answers lean on web search, and when an outside search provider is used, that provider's results feed ChatGPT, and OpenAI says the provider's own ranking influences the order of the sources listed beside the answer.

This is the part most Indian owners miss. They spend years on Google and never check whether Microsoft Bing knows their website. OpenAI's help page for regular ChatGPT search names Microsoft as one of its search providers, and its page for Enterprise and Edu workspaces says queries go to the Bing search engine.

So the sensible steps are:

  1. Add your website to Bing Webmaster Tools. It is free, and you can import a site already verified in Google Search Console. Our Bing Webmaster Tools guide shows how.
  2. Submit your sitemap there, the file listing every page you want found.
  3. Tell Bing when pages change. The IndexNow submitter sends your new or updated page addresses to Bing straight away instead of waiting for its next visit.
  4. Claim Bing Places for Business, Microsoft's version of a Google Business Profile.

None of this guarantees a mention. It simply removes the chance that ChatGPT never sees your pages because its search provider does not know them.

Why did ChatGPT recommend my competitor and not me?

Usually because the competitor is easier to find, easier to read or more consistently described across the web for that exact question. It is rarely one single factor.

Since ChatGPT's answers change between people and days, do not judge from one try. Ask the same customer question three or four times, with search on, and note the pattern. Then work through this list, from quickest to slowest to fix:

Possible reasonHow to checkWhat to do
OAI-SearchBot is blocked on your siteAI crawler checker, and your host's bot settingsAllow OAI-SearchBot; wait about a day
Your page does not say what the question asksRead your home page as a stranger: does it name the service, the area and the hours?Write them in plain text, one fact per sentence

Bing does not know your siteSearch site:yourdomain.in on BingSet up Bing Webmaster Tools and Bing Places
The cited sources do not mention youOpen the links ChatGPT showed under its answerGet listed on those directories or lists, honestly
The competitor simply has more reviews and mentionsCompare review counts on Google and directoriesAsk every happy customer for a review

The fifth row is the most useful habit. ChatGPT usually shows where its answer came from. If it keeps citing a particular directory, a "best clinics in Pune" page or a local news site, that is where your competitor is and you are not. The AI readiness checker then confirms nothing on your own website is in the way: it scores your site out of 100 on crawler access, plain-text contact details, structured data and other basics.

Do reviews decide who ChatGPT recommends?

OpenAI has not said that reviews are a ranking factor for local businesses in ChatGPT (it only mentions reviews for shopping results), but answers to local questions often mention ratings and review themes, so reviews clearly reach it through the sources it reads.

When ChatGPT describes a restaurant as "known for its biryani and quick service" or a clinic as "highly rated for patient care", that wording comes from somewhere: review sites, directory listings, blog round-ups or the business's own pages. A business with many genuine, recent reviews that describe specific services gives those sources more to say.

What to do, without breaking any platform's rules:

  • Ask every satisfied customer, once, at the right moment. A short link that opens your Google review box, sent on WhatsApp, makes it easy. The Google review link generator builds it. Our guide to getting more Google reviews covers which ways of asking are allowed.
  • Reply to reviews. It shows the business is active.
  • Never buy reviews or offer discounts for five stars. It breaks platform rules, and a pattern of fake praise is easy to spot.

Recency is one of the factors OpenAI does name. A listing whose last review was two years ago looks less current than one reviewed last week, to people and probably to machines.

Is there a way to see how ChatGPT describes my business?

There is no official ChatGPT report for businesses yet, so the reliable method is a monthly hand check with a fixed set of customer questions.

  1. Write five questions your customers really ask, with your area: "AC repair in Andheri West same day", "eggless cake shop in Indore".
  2. Ask each in ChatGPT with search on. Note whether you appear, whether the details are right, and which sources are cited.
  3. Repeat in Perplexity and Google's AI Mode, since your customers may use any of them.
  4. Fix one cause from the table above, then check again next month.

Our guide on how to check if AI assistants mention your brand turns this into a full routine, including the AI reports that Google Search Console and Bing Webmaster Tools now offer. For how Google's own AI answers pick businesses, see Google AI Mode for local businesses.

Frequently asked questions

How does ChatGPT decide which local businesses to recommend?

It searches the web for your question, using your approximate location, and chooses from what it finds based on user intent, relevance and recency, according to OpenAI. Results can come from its own crawler and from outside search and business-listing providers. OpenAI does not publish a detailed formula for local businesses.

Can I pay to be recommended by ChatGPT?

Not into the answer itself. OpenAI says placement in ChatGPT's search results is not guaranteed, and that ChatGPT's ads, which can appear on Free and Go plans, run separately and "do not influence ChatGPT's answers". Be wary of anyone selling "guaranteed ChatGPT ranking". You can improve your chances by letting OAI-SearchBot read your site, keeping your details consistent and earning genuine reviews.

Does ChatGPT use Google Maps to find businesses?

OpenAI has not said which business-listing providers it uses, apart from naming OpenTable, Resy and Yelp for restaurant reservation times. It confirms only that it may share your location with "trusted third-party providers" of nearby business listings. Keep your Google Business Profile, Bing Places and Indian directories all accurate, since you cannot know which one a given answer draws on.

Why is ChatGPT showing old details about my business?

It repeats what its sources say. If an old directory listing, an outdated page on your own site or an old article still has your previous address or phone number, ChatGPT may pick it up. Update your website first, then every listing, and check the sources ChatGPT cites under its answer.

How long after fixing my website will ChatGPT notice?

OpenAI says a robots.txt change takes about 24 hours to reach ChatGPT's search. Other changes are picked up when its crawler or its search providers next read your pages, which can take days or weeks. Reviews and mentions on other sites build over months.
